Verification Campaigns
A verification campaign lets you ask many people to verify their identity at once. You import a roster of names and emails, Nametag emails each person a personal verification link, and the console tracks everyone’s progress — who’s been invited, who has opened their link, and who has finished — so you can send reminders to just the people who still need to act.
Typical uses: re-verifying contractors or vendors on a schedule, onboarding a group of new hires or partners, or confirming everyone on a list before granting access.
Campaigns appear in the console only when the Verification Campaigns feature is enabled for your organization. If you don’t see Campaigns in the left navigation, contact your Nametag representative.
Step 1 — Open the campaigns list
In the console’s left navigation, select Campaigns. You’ll see a list of your existing campaigns (empty the first time), a search box, and a New campaign option.
Each campaign in the list shows its name, a status pill (Draft, Active, or Completed), a progress bar (green = verified, amber = pending, red = failed), and a “{verified} of {total} verified” caption.
Step 2 — Create a campaign
- Select New campaign.
- Name your campaign (Step 1 of 3). This name is only for you — the people you invite never see it. Select Next.
- Import people (Step 2 of 3):
- Select Choose file and pick a
.csvor.tsvfile, or paste rows directly into the text box. - Select Detect format. Nametag scans the first ~100 rows and automatically identifies which column holds the email and which holds the name.
- Review the detected Name and Email columns and the preview beneath them. If a column is wrong, pick the correct one from the dropdowns — or type a note like “the email is in the column called Work Email” and select Re-check to run detection again.
- Select Review.
- Select Choose file and pick a
- Review & create (Step 3 of 3): confirm the campaign name and the number of people to import, then select Create campaign.
Only rows with a valid email are imported. A duplicate email — in the file or already in the campaign — is imported once. The email is required; the name is optional but recommended, because it lets Nametag confirm the person who verified matches who you invited (see Name matching).
Step 3 — Review and adjust the roster
Select a campaign to open it. The roster lists everyone with their status. From here you can:
- Import more — add another file or pasted list at any time. New people are appended; duplicates are skipped.
- Edit a row — select the pencil icon to fix a name or email inline, then the check to save (or the X to cancel).
- Remove a row — select the trash icon and confirm in the dialog that appears.
Step 4 — Send the invitations
An invitation is the first email each person receives, containing their personal verification link.
- Select Send invitations to all to email everyone not yet invited.
- To invite only some people, tick their checkboxes first — the action becomes Send invitations and targets just your selection.
A progress window shows how many messages have been sent and the most recent recipient. For a large roster you can select Stop to halt the remaining sends; anyone already emailed keeps their invitation.
To re-send one person’s invitation, select the resend (paper-plane) icon on their row. It shows a brief spinner and confirms with a toast when done.
Step 5 — Track progress and send follow-ups
The roster shows, for each person:

Verification status is one of:
- Not started — no invitation sent yet.
- Pending — invited, verification in progress.
- Verified — completed successfully (and the name matched, if required).
- Failed — rejected, expired, or the name didn’t match.
The progress card at the top summarizes the whole roster. A campaign is Draft until the first invitation is sent, Active while people verify, and Completed once everyone has reached a final status.
To remind the people who haven’t finished, select Send follow-up to all pending (or tick specific rows first). Follow-ups go only to people who were invited and haven’t yet completed.
Step 6 (optional) — Require a name match
When you turn on name matching for a campaign, Nametag compares the legal name each person verifies against the name you imported for them. A close match — allowing for nicknames, name order, and minor spelling differences — is marked Verified; a mismatch is marked Failed so you can follow up. People imported without a name verify without a comparison.
Step 7 (optional) — Customize the emails
Select Email templates on a campaign to edit the invitation and follow-up emails. Each has an editable subject and body, and you can personalize the text with merge fields that are filled in per recipient:
{{first_name}}— the person’s first name.{{sender_name}}— your organization’s name.{{verification_link}}— the person’s unique verification link.
The body must include {{verification_link}} so the recipient can start their
check. New campaigns come with working defaults, so you can send without editing
anything. Select Save template when done.
Other actions
- Duplicate a campaign — from a campaign’s menu on the list, or the Duplicate option on its detail page. This copies the settings and email templates into a new draft campaign, but not the roster, so you can run the same kind of campaign again with a fresh set of people.
- Export CSV — download the current roster (name, email, invite/opened/ follow-up flags, and verification status) for your records or reporting.
- Delete a campaign — from the campaign’s menu on the list. This removes the campaign and its entire roster.
