Nametag for Zoom
Nametag helps meeting participants verify their identity directly inside Zoom meetings.
Participants verify using the Nametag mobile app or App Clip, and once verified, their legal name, profile photo, and location are displayed during the meeting.
Who uses Nametag
Nametag on Zoom involves three types of users:
| User | Responsibilities |
|---|---|
| Nametag administrator | Connects Zoom to the organization’s Nametag environment and manages the integration |
| Meeting host | Starts Nametag during a Zoom meeting |
| Meeting participants | Verify their identity during the meeting |
Administrator setup
Administrators complete a one-time setup to connect Zoom to their organization’s Nametag environment.
Requirements
To complete setup, you need:
- A Nametag account with at least one configured environment
- Access to the Nametag Console
- A Zoom account with permission to install Zoom Marketplace apps
Step 1: Connect Zoom in the Nametag Console
- Open the Nametag Console
- Go to Configure → Integrations
- Select Zoom
- Select Connect to Zoom
- Complete the Zoom authorization flow
Once connected, your Zoom organization is linked to your Nametag environment.
Note: This is a one-time setup for each Nametag environment.
Step 2: Install the Nametag app for meeting hosts
After Zoom is connected, anyone who will host meetings with Nametag must install the Nametag app from the Zoom Marketplace.
- Zoom administrators can install the app for their organization, selected groups, or themselves
- Non-administrators can install the app for themselves only
To install the app:
- Open the Zoom App Marketplace
- Search for Nametag
- Complete the installation flow
Some organizations require administrator approval before Zoom apps can be installed.
Using Nametag in a meeting
Once setup is complete, meeting hosts can start Nametag directly inside a Zoom meeting.
Meeting host experience
The meeting host starts Nametag for the meeting.
- Join or start a Zoom meeting
- Open Apps in the Zoom toolbar
- Launch Nametag
- Select Let’s get started
When Nametag starts:
- Meeting participants receive an invitation to open the app
- Participants can begin identity verification directly inside Zoom
- Verified participants appear in the Nametag panel in real time
If participants open the app before Nametag begins, they will see a waiting message until the session starts.
The meeting host must keep the Nametag app open while participant verification is active.
Participant verification flow
Meeting participants do not need a Nametag account.
To verify their identity, participants only need:
- A phone capable of scanning a QR code
- Access to their email inbox
- The Nametag mobile app or App Clip
Participants verify their identity in four steps.
1. Enter email address
Participants enter the email address they want to use for verification.
2. Enter verification code
Nametag sends a 6-digit verification code to the participant’s email address.
- Codes expire after 15 minutes
- Participants can request a new code if needed
3. Scan the QR code
After entering the verification code, participants scan a QR code using:
- The Nametag mobile app
- The Nametag App Clip
For detailed instructions, see:
How to verify your identity with Nametag
4. Approve display name update
After successful verification, Zoom asks the participant for permission to temporarily update their Zoom display name to their verified legal name.
Once approved:
- Their verified legal name appears in Zoom
- Their profile photo appears in the Nametag panel
- Their verified location appears in the Nametag panel
- Other meeting participants can view their verified identity
What everyone sees after verification
Once participants are verified, the Nametag panel displays:
- Verified participant names
- Verified participant photos
- Verified participant locations
- Verification progress for the meeting
Example:
3 of 4 attendees verified
Verification activity is also available in the Nametag Console.
Privacy and data handling
Nametag does not retain Zoom meeting data after a meeting ends.
- Meeting session data is removed after the meeting closes
- Disconnecting the Zoom integration removes your Zoom organization association from Nametag
- Identity verification data is retained according to your organization’s configured retention policies in the Nametag Console
Removing the integration
Removing Nametag requires two separate actions:
- Disconnect Zoom in the Nametag Console
- Remove the app from the Zoom Marketplace
Disconnect Zoom in the Nametag Console
- Open the Nametag Console
- Go to Configure → Integrations
- Select Zoom
- Select Remove
Disconnecting Zoom removes the association between your Zoom organization and Nametag.
Remove the Nametag app from the Zoom Marketplace
- Open the Zoom App Marketplace
- Go to Manage → Added Apps
- Select Nametag
- Select Remove
What to expect after removal
- Future meetings will no longer have access to Nametag until the app is reinstalled
- If you disconnect the integration in the Nametag Console but do not remove the Nametag app, the app may still appear in Zoom meetings but verification activity will not be connected to your organization’s Nametag environment
Troubleshooting
The Nametag app does not appear in Zoom
Verify that both setup steps are complete:
- Zoom is connected in the Nametag Console
- The Nametag app is installed from the Zoom Marketplace
Both are required.
The participant list stopped updating
The meeting host should keep the Nametag app open while participant verification is active.
If the host closes the app, changes devices, or transfers hosting duties, participant updates may stop refreshing until the app is reopened by the active meeting host.
The verification email did not arrive
If the verification email does not appear:
- Check spam or junk folders
- Confirm the email address was entered correctly
- Request a new verification code
Verification codes expire after 15 minutes.
The QR code is not scanning
For help scanning QR codes with the Nametag mobile app or App Clip, see:
How to verify your identity with Nametag
Zoom authorization failed during setup
Make sure:
- You are signed in to the correct Zoom account
- Your account has permission to install Zoom Marketplace apps
- Your organization allows third-party app installations
If authorization continues to fail:
- Disconnect the Zoom integration
- Reconnect Zoom
- Retry the authorization flow
